Data download

Introduction

Download your survey data from Data > Records. Click Download data to adjust export settings.

The export includes a row for each respondent, with columns for the respondent ID, server data, and responses to general interview questions. Exercise responses (such as MaxDiff or conjoint) are downloaded from the Analysis tab next to the exercise results.

By default, only completed records are included. Adjust filters to include respondents with other finalized statuses. To include responses from participants who haven't completed the survey, expire their records first. See the Expire records article for guidance.

Download settings

When exporting, a dialog appears with the following settings:

  • File type: Select Excel or SPSS.
  • Include question text: Adds an additional row to the export containing the question text.
  • Respondent selection: Export selections as numeric values (1, 2, 3) or label text (Blue, Red, Green).
  • Variable names: For questions with multiple columns, export item identifiers as numeric values (1, 2, 3) or label text (Blue, Red, Green). For example, a multi-select question will have a column for each item in the list. They can be displayed as:
    Colors_1 , Colors_2 , Colors_3

    or
    Colors_Blue , Colors_Red, Colors_Green

Respondent ID

The respondent ID is the first column in each record, labeled Record ID by default. Each value is assigned automatically when a respondent enters the survey.

If you define a unique ID in the variable manager, it will appear as the first column, before the Record ID.

Respondent status

This column shows the status of each respondent — complete, incomplete, or disqualified. Learn more in the Study summary article.

Question reporting

Each question and its responses are recorded in the spreadsheet. Display format varies by question type.

Single-select

Responses appear in a single column labeled with the question name. The cell contains the position number of the selected item. For example, if “Orange” is the fifth list item and is selected, the cell shows 5.

A column is shown for each row, labeled as Question name_r#. Each cell shows the respondent's selected item for that row.

Multi-select

Each list item has its own column, labeled as Question name_#. A 1 indicates the item was selected; a 0 indicates it was not.

Numeric

Responses appear in a single column labeled with the question name. The cell contains the numeric value entered by the respondent.

Columns are labeled as Question name_r#_c#, where r# is the row item number and c# is the column item number. Each cell contains the numeric value entered by the respondent.

A column is shown for each list item, labeled as Question name_#. Each cell contains the numeric value entered by the respondent for that item.

A column is shown for each list item, labeled as Question name_#. Each cell contains the rank assigned to that item.

Responses appear in a single column labeled with the question name, exactly as entered by the respondent.

Text entry

When a list item includes the text entry option, it appears in the order it was added to the list. The column is labeled Question name_#_TextEntry and the cell contains the text entered by the respondent.

Blank fields

Blank fields may appear in the export for two reasons:

  • The question was not required and the respondent chose not to answer.
  • The response option was added to the list after the respondent had already taken the survey.
